Privacy Policy

Your privacy matters to me. This policy explains what personal information I collect, why I collect it, how I keep it safe and what your rights are. It follows UK data protection law, including the UK GDPR, the Data Protection Act 2018 and the Data (Use and Access) Act 2025.

1. Who I am

Seeds Health Coaching is run by Emma-Kate Corby. I am the "data controller" for the personal information described in this policy, which means I decide how it is used and I am responsible for looking after it.

ICO registration number: ZC268716

2. What information I collect

Depending on how you interact with me, I may collect:

  • Contact details: your name, email address and phone number.

  • Booking details: information you give when you book a call, session, event or retreat.

  • Coaching information: your goals, training history, progress, check-in responses and anything you share during calls or messages.

  • Health information: your PAR-Q, medical questionnaire and any health conditions, injuries or symptoms you tell me about.

  • Payment details: payments are processed securely by my payment providers. I do not see or store your full card details.

  • Website information: basic information about how you use my website, collected through cookies (see section 10).

3. How and why I use your information

The law says I must have a valid reason, called a "lawful basis", for using your information. Here is what I use it for and why.

  • Delivering your coaching programme, sessions, events or retreats. Lawful basis: contract (to provide the service you've signed up for).

  • Keeping you safe during training. Lawful basis: contract, and explicit consent for health information.

  • Replying to your enquiries and booking calls. Lawful basis: legitimate interests (responding to people who contact me).

  • Sending updates or newsletters you've signed up for. Lawful basis: consent.

  • Keeping financial and business records. Lawful basis: legal obligation.

  • Improving my services and website. Lawful basis: legitimate interests.

  • Using anonymised themes or insights to improve my programmes or in my marketing. Lawful basis: legitimate interests (you are never identifiable).

I will never share a testimonial, photo or anything that identifies you without your explicit permission.

4. Your health information

Health information is a "special category" of personal data and has extra protection under the law. I only collect it so I can design a programme that is safe and right for you.

I rely on your explicit consent to collect and use it, which you give when you complete your health forms. You can withdraw your consent at any time by contacting me. If you do, I may not be able to continue coaching you safely, and I'll talk this through with you.

Your health forms are stored securely in the Everfit app and are only seen by me.

5. Who I share your information with

I do not sell, trade or rent your personal information.

I use trusted service providers to run my business. They store or process your information on my behalf and only as I instruct. These include:

  • Everfit: coaching app, programmes, health forms, check-ins and payments

  • Wix: my website and contact form

  • Google: email, calendar bookings, video calls and document storage

  • WhatsApp: messaging support, if you choose to use it

  • MailerLite: newsletters and email updates

  • Paperbell: bookings and payments in the past. I no longer use it for new clients.

  • Stripe: secure payment processing for programmes bought through Everfit

I may also share information if the law requires it, or if I have a serious concern for your safety.

6. Transfers outside the UK

Some of my service providers may store information outside the UK, for example in the United States. Where this happens, I make sure appropriate safeguards are in place, such as the UK's approved data transfer agreements or a UK adequacy decision.

7. How long I keep your information

I only keep your information for as long as I need it.

  • Client records, including health forms: up to 6 years after we finish working together, in case of any insurance or legal query.

  • Financial records: as long as the law requires for tax purposes.

  • Enquiries that don't lead to working together: up to 2 years in case you would like to work together in the future.

  • Newsletter details: until you unsubscribe.

After that, I securely delete it.

8. Keeping your information safe

I take reasonable technical and practical steps to protect your information, including password-protected accounts and secure, reputable platforms. No system is completely secure, but I do everything I reasonably can to keep your information safe.

9. Your rights

You have the right to:

  • Access the personal information I hold about you

  • Correct anything that is wrong or incomplete

  • Delete your information, in some circumstances

  • Restrict or object to how I use it, in some circumstances

  • Receive a copy of your information in a format you can take elsewhere

  • Withdraw your consent at any time, where I rely on consent

To use any of these rights, just email me. I'll respond within one month. There is no charge.

10. Cookies

My website uses cookies, which are small files stored on your device.

  • Essential cookies make the website work. These don't need your consent.

  • Analytics and preference cookies help me understand how the website is used and remember your settings. Where the law allows, these may be used without asking first, and you can object at any time using the cookie settings on my website.

  • Marketing cookies are only used if you agree to them through the cookie banner.

You can change your choices at any time through the cookie settings on my website, or block cookies in your browser. Some parts of the website may not work as well if you do.

11. Emails and newsletters

If you sign up for my newsletter or updates, I'll only email you with your consent. Every email includes an unsubscribe link, or you can email me and I'll remove you.

If you're a client, I'll also send you messages about your programme. These are part of the service, so they aren't marketing.

12. Complaints

If you have a concern about how I've handled your information, please contact me first. I'll acknowledge your complaint within 30 days, look into it promptly and let you know the outcome.

If you're not happy with my response, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

13. Changes to this policy

I may update this policy from time to time. The latest version will always be on my website, with the date it was last updated. If I make an important change, I'll let current clients know.
